Approved terminology for ALL HempDash documentation. Every SOP/playbook must use these terms with these meanings. Replace inconsistent terminology on sight.

| Platform Authority | Powers HempDash holds over its own platform: revoke/suspend the Seal, delist/suspend products, withhold payouts, suspend/terminate the account, moderate content. Real and contractual (MVA §2–8). |
| Business Authority | Powers over a vendor's actual business (stop sales, halt manufacturing, mandate recall, order destruction). HempDash has none of these. |
| Seller of Record | The vendor. HempDash is not the seller; the vendor sells through the Platform and retains product/IP ownership (MVA §8.2). |
| Regulated Party | The vendor — the party DSHS regulates and holds the hemp license. HempDash is not the regulated party (Bifurcation Memo §2.4). |
| Recall Coordination | HempDash's role in a vendor-initiated recall: coordinate, document, notify HempDash-channel customers, track, report, preserve evidence. HempDash does not mandate or approve the recall. |
| Delisting | Removing a product from the HempDash Platform (it is no longer sellable on HempDash). Does not stop the vendor's off-platform sales. |
| Account Suspension | Temporarily restricting a vendor's access to HempDash services. Not a suspension of the vendor's business. |
| Vendor Restriction | Limiting a vendor's HempDash marketplace participation (e.g. listing freeze) short of full suspension. |
| Vendor Termination | Ending the Master Vendor Agreement; products delisted within 48h (MVA §2.5). Ends the HempDash relationship, not the vendor's business. |
| Seal Suspension | Temporary inactivation of the Seal pending cure (Seal Terms §4.1–4.2). |
| Seal Revocation | Permanent deactivation of the Seal (Seal Terms §4.3). |
| Compliance Review | HempDash's structured evaluation of vendor-submitted COA documents against the §300.301 schema (Premium tier). An infrastructure/documentation check, not a regulatory determination. |
| Documentation Review | Confirming required documents are on file and unexpired (Free tier). |
| Evidence Preservation | Retaining compliance artifacts (COAs, seals, audit logs) immutably for audit/inspection/legal-hold purposes. |
Never write 'suspend the vendor' (write 'suspend the vendor's account / Seal / listings'), 'remove from sale' (write 'delist on the HempDash Platform'), 'HempDash approved the recall' (write 'HempDash coordinated the vendor-initiated recall'), or 'HempDash determines compliance' (write 'HempDash evaluates documentation submitted to HempDash').
